Official Job Title: Quality Control Coordinator

Reports To: Associate Commissioner for Student Financial Assistance

Salary: $48,500 to $56,500

Position Overview

Support the business systems of the Office of Student Financial Assistance by providing quality control for financial aid program operations, to include functions of the MASSAid system and related program data, disbursements refund and reconciliation. Quality Control functions will include monitoring and correcting processing errors, managing institutional participation, audit and compliance requirements, testing of new software releases and enhancements; and assisting with data update and roll-over between school years.

Essential Job Functions

  • Test financial aid software, including enhancements and new releases, work with Associate Commissioner and software vendor to resolve errors
  • Assist institutions with certification and payment processes of the MASSGrant program
  • Assist institutions with on-line updating of records, downloading and uploading of certification, payment and reconciliation files
  • Assist Massachusetts Student Loan borrowers with matters of loan re-payment and loan default
  • Work with billing and collection agencies to perform reconciliation of daily deposits and bank statements for Massachusetts Student Loan programs
  • Perform other special projects, as required, on behalf of Massachusetts State Loan programs
  • Process and track daily refunds for State financial aid programs from all participating postsecondary institutions, to include reconciling with and reporting of those refunds to the Department of Higher Educationís Business Office
  • Coordinate and track the annual reconciliation process for State financial aid programs to include institutional compliance with Year-End Data reporting requirements
  • Track institutional compliance with annual audit, attestation reports and program participation agreement requirements
  • Coordinate the preparation of annual state financial aid programs guidelines and procedures
  • Coordinate the tracking and maintenance of OSFAís state financial aid programs year-end data and assist institutions with Year-End Data comparison efforts
  • Assist with coordination of yearly OSFA summer financial aid workshops
  • Other assigned job-related duties

Non-essential Job Functions

  • Assist with the annual update and publication of program guidelines
  • Assist staff with the development of training materials for annual State Financial Aid Workshops


  • Minimum of three years of experience in an office setting, providing analysis or review of program operations or audit related processes
  • Bachelorís Degree ( business management, administration or related field of study highly preferred)
  • Familiarity with database management
  • Demonstrated ability to diagnose and develop solutions to complex problems
  • Effective project management skills
  • Ability to multi-task and manage effectively
  • Ability to work in a fast-paced, high energy environment
  • Excellent communication skills, with an ability to interact with a diverse group of stakeholders, students and institutions
  • Proficiency in computer applications, to include Word, Excel, Access and PowerPoint

Preferred Qualifications

  • Direct experience working in a financial aid environment
  • Knowledge and experience with student financial aid management software
